B2B Sample Policy
Evaluation & Shipping Guidelines
1. The Importance of Sampling
At Eon Coffee, we understand that physical evaluation is a critical step in B2B coffee procurement. We encourage all prospective importers, distributors, and HORECA partners to evaluate our roast profiles, ultra-fine grind consistency, and packaging quality before placing a bulk order.
2. Eligibility for Samples
Samples are prepared and dispatched exclusively for verifiable commercial entities. To process a sample request, we require:
- Your registered company name and website.
- A valid corporate email address (requests from generic webmails like Gmail/Yahoo may require further verification).
- Your target sales channel (e.g., Hotel supply, Retail distribution, Specialty coffee shop).
- Full delivery address, contact person, and phone number.
3. Sample Costs & Courier Fees
3.1. Cost of the Coffee Samples
Depending on the requested formulation and quantity, a nominal fee may be applied to cover the cost of the premium coffee and specialized packaging. In many cases for standard catalog items, the product sample itself is provided on a complimentary basis to qualified buyers.
3.2. International Shipping (Courier) Fees
The buyer is strictly responsible for all international shipping and courier fees (via DHL, FedEx, UPS, or TNT). You may provide your own courier account number for us to arrange the pickup, or we can invoice you for the exact shipping cost prior to dispatch.
3.3. Bulk Order Credit
We view sampling as the first step of a partnership. If a sample fee or shipping cost is invoiced to you, we may credit this exact amount toward your first official bulk commercial order, making the sample process effectively free for our active partners.
4. Dispatch & Preparation Time
We do not send stale coffee. To ensure you experience the authentic aroma of our Turkish coffee, samples are often prepared and packed from our freshest roasting batches. Please allow 3 to 5 business days for sample preparation before the package is handed over to the international courier.
5. Customs & Import Regulations
Even for small, non-commercial sample shipments, many countries have strict food import regulations. Please note:
- The buyer is entirely responsible for knowing their local import rules regarding roasted coffee.
- Any customs duties, local taxes, or clearance delays in the destination country are the sole responsibility of the receiver.
- If specific documents (e.g., Phytosanitary Certificate) are required just to import samples, please inform us in advance. Note that obtaining official government certificates for small sample batches may incur additional administrative fees.
6. How to Request
To request a sample box of our retail or bulk HORECA lines, please email our export desk with your company details and specific interests:
